We use an IT system to manage our business and bookings for our gites, this means that we fall under the GDPR regulations that came into force on 25th May 2018 and we must therefore maintain this policy to explain what data we store and how we use it.

This Privacy Policy explains the information we collect, primarily taken from emails to our hideawayinfrance.com and gmail.com email addresses, telephone calls and personal conversations (including booking forms and other email attachments), how we use that information, who we share it with, and how we protect it.

If you are having trouble sleeping, or really honestly think that we might do anything dodgy with your data, please read this Privacy Policy carefully. If you communicate with us in any way you implicitly confirm that you have read and understood this Privacy Policy in its entirety; yes, we know that’s a dumb statement, but we have to say it to confirm to the new regulations!

Overview

We put your details into our IT system simply because it’s more practical than keeping huge ledgers of booking details or covering our house with post-its. Of course “we respect your right to privacy” so the data is kept for us, only for us, and used to make sure that we have your gite ready for you when you arrive. In legal speak we ‘only request or collect information that we need to provide you with the services that you request’.

After staying with us you have the option to post comments or reviews of our gites on our ‘Guestbook’, Google, or other booking sites. Any text you provide is published ‘as is’ without modification by us.

These details are what we refer to below as ‘we’, ‘us’ or ‘our’.

Information covered by this Privacy Policy

The Privacy Policy covers all personal information collected and used by us.

When we talk about “personal data” or “personal information” we mean information that enables you to be identified as an individual. Personal information may include your name, postal address, e-mail address, computer IP address, phone number(s), mobile phone number(s), user generated content and technical information from the devices you use to access our services. NOTE: We DO NOT store any of your personal financial details e.g. payment card details, bank account numbers.

Children

Our clients must be aged 18 or over to enter into a contract with us. Our Site and services are not directed at children and other than their name, gender and age (held in the list of who is staying in the gite that we need to have for fire regulations), we do not knowingly collect any personal information from children.

If you are a child and we learn that we have inadvertently obtained other information from you on our Site then we will delete that information as soon as possible.

What information do we collect from you?

We collect information from different sources:

Information you give us

When you access our services, such as when you email us to request a booking or make a reservation on one of the advertising sites that we use then we will collect personal information about you.

When you contact us to enquire about or reserve a gite, the personal information we may receive is:

  • Your name
  • Your address or addresses
  • Email address(es)
  • Your telephone number(s)
  • Your mobile telephone number(s)
  • The dates of your enquiry or booking, and the gites(s) of interest
  • Your travel details e.g dates and times of arrival in France, port / airport of arrival and/or departure, carrier.
  • The name of the advertising site on which you made your booking, or from which you obtained our contact details
  • The content of any contact you make with us, e.g the written content of emails, or the transcribed verbal content of phone calls or visits to us.
  • The dates and costs of services we have provided and your payments made to us
  • The names of other members of your party joining you in your gite
  • The names and species of any pets you may be bringing with you
  • Reviews and comments you choose to add to our guestbook

It is necessary for you to provide this information to use our services. If you cannot or will not provide this information you may not be able to use our services.

Information we collect about you

When you visit our website we use cookies and other technologies to collect the following information:

  • Technical information, including your IP address, browser type and version, device identifier, location and time zone setting, browser types and versions, operating system and platform, page response times;
  • Information about your visit including referring pages if any;
  • Length of visits to certain pages, page interaction information (such as scrolling, clicks and mouseovers) and methods used to browse away from the page.

How do we use your personal information?

We may use your personal information to:

Create and manage your gite reservation

We need your personal information (such as your email address) to set up and manage your reservation.

Deal with your enquiries and requests

We will need to use your personal information to deal with enquiries and requests. Use of your information in this way is in our legitimate interests.

Comply with legal requirements

We may sometimes need to process personal information to comply with legal requirements to which we are subject (for example tax or financial reporting requirements).

Monitor your payments and protect against fraudulent transactions

We need to process your personal information to track your reservation and protect against fraudulent transactions.

Add your comments to our Guestbook

When you choose to add comments or reviews on our guestbook we publish your comments along with your initials, the gite you stayed in and the dates of your stay.

Who may use your personal information?

Your personal information is used only by us unless third parties have a legal ability to demand access (for example tax or financial reporting requirements).

Our web site may contain links to the websites of third parties. If you follow a link to any of these websites, please note that they will have their own privacy policies and that we have no control over how they may use your personal information. You should check the privacy polices of third party websites before you submit any personal information to them.

We will not sell your personal information to third parties.

Third parties permitted by law

In certain circumstances, we are required to disclose or share your personal information in order to comply with a legal or regulatory obligation.

We will also disclose your personal information to third parties where disclosure is both legally permissible and necessary to protect or defend our rights, enforce our Terms and Conditions, or protect your rights or those of the public.

Where we store your personal information

The personal information that we collect from you may be transferred to, and stored at, a destination outside the European Economic Area ("EEA") (for example, in the USA).

Please be aware that countries which are outside the European Economic Area may not offer the same level of data protection as in the European Union, although our collection, storage and use of your personal data will continue to be governed by this privacy policy.

If you would like to request access to or submit amendments to your personal information you can do this by emailing our email address in ‘Who we are’ above. We will consider all such requests and provide our response within a reasonable period. Please note that certain personal information may be exempt from such requests in certain circumstances.

If an exception applies, we will tell you this when responding to your request. We may request you provide us with information necessary to confirm your identity before responding to any request you make.

Your right to restrict processing or have your information deleted

Where we need to collect your personal data by law, or under the terms of a contract we have with you and you want to delete your personal information then we may not legally be able to do this. In this case, we will notify you at the time.

Your right to provide us with instructions on the management of your personal information after your death

You have the right to provide us with instructions on the management (e.g., retention, erasure and disclosure) of your data after your death. You can change or revoke your instructions at any time. Please contact by emailing our email address in ‘Who we are’ above.

How long do we keep your personal information?

Your personal Information is stored by us indeterminately. The business of gite rental is such that a client may return to us many years after their first booking or enquiry, and in order to maintain a historical record of previous communication we keep all details on record in accordance with applicable data protection laws.

How do we keep your personal information secure?

Your personal information is collected via a secure server. The secure server software encrypts the information provided before transmitting it to us. In addition, we have security procedures in place to protect the storage of and prevent unauthorised access to your personal information. As part of our security measures, we may sometimes require you to give proof of your identity before we disclose personal information to you.

Changes to this Privacy Policy

We may update this Privacy Policy from time to time in response to changing legal, regulatory or operational requirements.
